How to Create a 1:1 Schedule
There are several ways to create a 1:1 Schedule:
1. You can create a 1:1 Schedule using the Create button located at the top of your navigation bar.
2. You can create a 1:1 Schedule by navigating to 1:1 Meetings using the main menu on the left side of the screen and selecting Create 1:1.
3. You can create a 1:1 Schedule directly from the public profile of the person you want to have your 1:1 with. Select People and People Directory from the main menu on the left of the screen, select the desired team member and select Create 1:1 at the top right of the screen.
4. Managers can create 1:1 Schedules from their Team View. Navigate to Team and Team View using the main menu on the left of the screen, then select the Calendar icon beside the desired team member.
When you begin to create your 1:1 Meeting Schedule, you'll be met with the following view:
Getting Started with 1:1 Schedules
Participant
In some cases, you will be prompted to select a participant. Searching for the person you want to meet with by typing their name in the search bar.
Purpose
Provide some information on the 1:1 Schedule to help you and the participant identify it.
For example, "Weekly Sales check-in", "Regular face-to-face" or "Monthly sales run-through".
Location
This field is used to describe where the 1:1 Meetings will take place. There are multiple options provided in the drop-down menu including "In Person", "Zoom", "Slack" and "Microsoft Teams".
Once you've selected your location, you can add more details, for example, you can provide the Zoom link if the meetings will be conducted on Zoom.
Note: This will also be shown in the calendar invite that goes out to your 1:1 participant.
Meeting Time and Length
Here you can select a time for your 1:1 Meeting Schedule and specify how long the meetings will last. You'll also be able to change the timezone for your 1:1 Meeting Schedule.
Note: The default date for a new 1:1 Meeting Schedule is one week from today, and the default length is 30 minutes.
Calendar Integration Options
If you or the participant have integrated your Outlook or Google calendar with Frankli, you'll be able to see when they're available to meet by selecting Meeting Time.
Frequency
Here, you'll select how regularly you would like these meetings to take place.
You can choose from;
Daily
Weekly
Fortnightly
Monthly
Quarterly
Annually
Individual
Flexible
Custom
Custom Frequency
If you select Custom Frequency, you'll be presented with repeat frequency options, similar to those in your calendar.
If you'd like the 1:1 Meetings to repeat every number of weeks, you'll also be able to select a specific day of the week for the meetings.
If you'd like the 1:1 Meetings to repeat every number of months, you'll also be able to select a specific day of the month for the meetings.
You can also set your schedule to end on a specific date, or after a certain number of occurrences.
Recurring Talking Points
You can define a number of talking points to bring structure and consistency to your 1:1 Meetings.
You can choose a list of Frankli talking point templates selected by your admin, or add your own.
To edit a talking point, select the Edit icon next to the desired talking point and press enter to save your changes.
To delete one of the recurring talking points, click the X icon next to it.
You can change the order of the recurring talking points by hovering your mouse over the participant's image on the left-hand side to reveal an ellipsis icon. Using this, you can drag the talking points to your desired location.
Creating the 1:1 Meeting Schedule
To create the 1:1 Meeting schedule, select Confirm.
What Happens Next?
The other 1:1 Meeting Schedule participant will be notified via email and within Frankli.
The email will also automatically create a new event in their Outlook or Gmail calendar.
The participant will have access to view the proposed 1:1 schedule and talking points in advance.
The participant can also collaborate on the talking points or comment on ones already created.
