Admins can now add a custom text field to every user profile: great for tracking things like Payroll ID, HR file number, or anything else that doesn’t belong in the default fields. It’s admin-only, fully searchable, and can be updated individually or in bulk.
Who can use it
This is an Admin-only feature. The custom field will only be visible to Admins in Company View and relevant reports. It’s not shown to employees.
How to turn it on
Go to Admin → Manage Features
Toggle on Custom User Field located at the bottom of the features list.
Enter a name for your field e.g.
Payroll ID
,HR Ref No
, etc.Save your changes
If you rename the field later, make sure to refresh any templates or exports you’re using so the column header matches the updated name.
Where it appears
The custom field will appear in Company View (visible to Admins only), in relevant reports that include user profile data, and in the Bulk Upload template, where it’s automatically included as a column using the field name you’ve set (e.g. "Payroll ID")
How to update it
You can update the custom field for any user through four paths:
1) When adding a user
Open Company View → click Add User
Fill in the custom field as part of the user’s details
2) When editing a user
In Company View, select a user and click Edit
Update the custom field and save
3) Using Bulk Edit
Select multiple users in Company View
Click Bulk Edit, then enter a new value for the custom field
The field will appear in the preview screen (if changed), and updates will apply on confirm. This can be used when changing multiple people with the same custom field input e.g there is 10 users I want to change to "contractor'.
4) Using Bulk Upload
You can populate or update custom field values via spreadsheet:
Option A: Download the Bulk Upload Template: your custom field will already be included as a column (using the name you gave it, e.g.
Payroll ID
)Option B: Export Company View → populate your custom field column → re-upload via Bulk Upload
Tip: If your bulk upload doesn’t pick up the field, double-check that the column header in your file exactly matches your custom field name in Settings.

Q: Can I change the name of the field later?
Yes, anytime. Just make sure to update any templates or saved spreadsheets you’re using.
Q: What if I leave the field blank?
You can leave it empty, it will show as 'null' in Company View and previews.
Q: Can I have more than one custom field?
Not at the moment, this feature supports a single field per company.
Q: What type of data can I store?
Use it for lightweight data: this is a simple text field, not designed for structured info.
Q: What’s the character limit?
100 characters. Whitespace is preserved exactly as entered.
